Who we are

CoordinateIQ (“we,” “our,” or “us”) provides an AI Sales Play Coordinator that delivers context-aware sales plays and real-time prep notes directly to sellers’ calendars and email, and integrates with customer systems to streamline sales execution.

Scope

This Privacy Policy applies to personal information processed when you use our websites, products, and services (collectively, the “Services”), contact us, or otherwise interact with us. Where we provide the Services to our business customers, we act as a processor/service provider of personal information on their behalf, and they act as the controller/business. In those cases, our processing is governed by our agreement with the customer and their privacy policy.

If you’re a sales rep or end user whose employer uses CoordinateIQ: your employer is the controller of your workspace data. Please contact your employer for requests about that data; we will assist them as required.

Notice at Collection (California and similar laws)

We collect the categories of personal information described in Information we collect for the purposes listed in How we use information. Retention is described in Data retention. We do not sell personal information. See U.S. state privacy for your rights and how to exercise them.

Information we collect

Information you provide

  • Account & profile: name, work email, role, password (hashed), preferences.
  • Content & context: attendee names and emails, meeting titles and descriptions, sales play content, prep notes, prompts, feedback, attachments you upload.
  • Support & comms: messages sent to our team, surveys, or community posts.

Information from integrations

  • Calendars & email (e.g., Google Workspace, Microsoft 365): meeting titles, times, attendee names and emails, locations, relevant messages or summaries where enabled by your admin.
  • CRM & sales tools: account, contact, opportunity, and activity metadata from platforms your admin connects (e.g., deal stages, notes).
  • Documents & knowledge bases: playbooks, SOPs, and product info your team chooses to sync.

Information we collect automatically

  • Usage & telemetry: feature interactions, performance data, device info, browser type, language, pages viewed, and timestamps.
  • Cookies & similar tech: to remember settings, keep you signed in, measure performance, and improve the Service. See “Cookies” and Online tracking below.

Information from others

  • Administrators who set up your workspace and grant permissions.
  • Service providers that host, secure, analyze, or support our Services.
  • Public or third-party sources as permitted by law and your admin settings.

How we use information

  • Provide the Services: authenticate users, deliver context-aware prep notes and sales plays, summarize meetings where enabled, and integrate with connected tools.
  • Improve & develop: troubleshoot, research, and enhance features, models, and workflows.
  • Security: detect, prevent, and respond to fraud, abuse, and threats.
  • Communications: send service notices, product updates, and (where permitted) marketing. You can opt out of marketing at any time.
  • Compliance: meet legal, regulatory, and contractual obligations.

How we share information

  • Service providers and subprocessors who help us host, store, secure, analyze, and support the Services under appropriate contracts.
  • Integrations you or your admin connect (e.g., CRM, email, calendars) to enable chosen features.
  • Enterprise administrators with visibility into usage, configuration, and content as set by your organization’s policies.
  • Legal & safety when required by law or to protect rights, security, and integrity.
  • Business transfers in connection with a merger, acquisition, or asset sale.

We do not sell personal information. We do not share end-user workspace content with third parties for their independent advertising or marketing.

Data retention

We retain personal information for as long as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods may vary by data type and customer settings.

Security

We implement technical and organizational measures designed to protect personal information, including encryption in transit, role-based access controls, network safeguards, and employee training. No system is perfectly secure; we encourage strong passwords and multi-factor authentication where available.

Your choices & rights

  • Account settings: update profile and preferences in the app.
  • Cookies: control via browser settings and in-product banners.
  • Marketing communications: unsubscribe via links in our emails.
  • Data subject requests: access, correction, deletion, portability, and objection/restriction rights may apply depending on your location.

We respond within legally required timeframes and may request additional information solely to verify and process your request.

Account deletion

You can delete your CoordinateIQ account at any time directly in the app. Deleting your account will remove your profile and associated personal information from our active systems. If your account is part of an organization-managed workspace, please contact your administrator to request deletion through your organization.

If you would like us to delete all personal data we hold about you, you may also email info@coordinateIQ.com. We will verify your request and, where applicable, delete or anonymize your personal data, subject to any legal or contractual retention requirements and standard backup cycles.

Note: Deleting your account or requesting deletion does not affect data that your employer controls in an organization workspace. For that data, please contact your administrator; we will support them in fulfilling your request.

Online tracking, “sale/share,” and targeted advertising

On our marketing sites, we may permit cookies and similar technologies for analytics and limited advertising. To the extent such activity is deemed a “sale” or “sharing” of personal information or “targeted advertising” under applicable U.S. state laws, you may opt out using our cookie controls or by emailing info@coordinateIQ.com. Blocking certain cookies may affect site functionality.

Do-Not-Track

Most browsers and mobile operating systems include a Do-Not-Track (DNT) setting or signal. No uniform standard governs the recognition of DNT signals; accordingly, we do not respond to them at this time. If a standard is adopted, we will update this policy.

Google API Limited Use

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

AI features and providers

Some features use AI technologies. Where enabled by your admin, your inputs and outputs may be processed by vetted AI service providers to deliver the feature (e.g., model inference, summarization). We require appropriate contractual safeguards and do not allow providers to use your workspace content for their own advertising or to train their foundation models without your organization’s explicit opt-in.

We do not sell personal information. We may “share” limited online identifiers for cross-context advertising on our marketing site where permitted; you can opt out via cookie controls or by emailing us.

How to exercise your U.S. privacy rights

You may request access, correction, deletion, portability, and (where applicable) opt out of “sale,” “sharing,” or targeted advertising by emailing info@coordinateIQ.com. We will verify your request to a reasonable degree of certainty (e.g., by matching information to your account or requesting additional information) and will use the information you provide only to verify and process the request. You may designate an authorized agent; we may require proof of authorization and additional verification.

GDPR/EEA/UK rights

You have rights to access, rectify, erase, restrict or object to processing, and portability, and to lodge a complaint with your local supervisory authority. Where we rely on consent, you may withdraw it at any time.

International data transfers

When transferring personal data outside its origin country or region, we use lawful mechanisms such as Standard Contractual Clauses and implement additional safeguards as appropriate.

Children’s privacy

Our Services are not directed to children under 18. If we learn we collected such information, we will deactivate the account and delete the data.

Changes to this policy

We may update this policy from time to time. We will post the updated version with a new “Last updated” date and, where appropriate, provide additional notice.
